CLOSED: Virtual Assistant – freelance, part-time, flexible working

Are you an exceptionally-organised individual who can solve problems, juggle multiple, often changing, priorities and deliver high-quality accurate work?

We are looking for a virtual assistant who can help us stay organised and on top of the business.

Agenda is a strategic communications agency that works with charities, membership organisations, trade unions and social enterprises across the world. We’re growing: turnover is increasing year-on-year and the scope and volume of projects we undertake is also on the rise.

Our two directors and business manager are based in UK, Belgium, France and we have many associates working for us at any time. Everyone works flexible hours, and the international nature of our work means client and media requests can arrive at any time.

To be successful in this role, you need to share our values, have experience of working with consultancies OR in communications and preferably with charities, membership organisations, trade unions or social enterprise, be exceptionally organised and have attention to detail.

The role is part-time and freelance. We can pay £15 an hour (or international currency equivalent) for an average 15 hours a week. Your schedule can be flexible with agreement from the directors – but we would prefer a couple of hours each weekday.

Experience in an administrative/personal assistant role is essential. The role will include general administrative support, such as diary and inbox management for the directors; filing documents and updating our project management system (AirTable); supporting the business manager with invoicing queries etc; plus helping the team to onboard new clients, manage our busy roster of freelancers, and keep our contact database up-to-date. Basic marketing skills are desirable as you will also be required to help our team schedule social media posts, upload blog posts and distribute newsletters. Given the international presence of our team and clients, French and/or Dutch language skills are a bonus but not essential.

How to apply

Please write a cover letter that briefly answers the following questions:

  1. What three words would best describe you and your abilities as a virtual assistant?

  1. Using examples from previous roles where relevant and appropriate, how would you prioritise incoming queries and your day-to-day to-do list? (max 300 words)

  1. Using examples from previous roles where relevant and appropriate, how do you support three very busy senior colleagues who work irregular hours and are based in three different countries? (max 300 words)

Send the cover letter, a copy of your CV and two referees to hello@your-agenda.com before 9am GMT on Tuesday 2 May. A job description is available on request, as are preliminary conversations with the leadership team to see if this is a role you want to apply for. Interviews will take place the week beginning 8 May. Questions will be provided in advance. Start date ASAP.
